A
lot of companies fail to realise or underestimate the total cost of
payroll, above and beyond the actual cost of paying employees and payroll
teams. Only when the total cost is understood can the benefits of
outsourcing be analysed fairly.
The
first hidden cost is IT. Keeping payroll in-house often means buying,
running and upgrading payroll software, which in turn needs licenses and
servicing by an in-house IT team. If and when this software, or the
servers which host it go wrong, there are unpredictable costs and a lot
of time involved in putting it right again. When payroll is outsourced to
a third party it should host the payroll system, which means that IT is
its responsibility: this includes upgrading, maintaining, securing and
backing up the system. IT costs can be significantly reduced and made
more predictable which helps cash flow management – something that is
especially important for smaller businesses.
Other
costs that need to be included in the total cost of payroll include those
involved in recruiting new payroll staff, training them and ensuring they
are up-to-date on the latest legislation. There are also costs involved
in printing and sending out payslips that might not always be considered.
It is also important to think about the potential cost of getting payroll
wrong. For example, there are fines for non compliance (such as late
filings) and also the cost of correcting payroll errors which need to be
considered when making the business case.
Excaliber
Payroll Services will remove the following costs involved with “in-house”
payroll: computer equipment, payroll software and upgrades, software
support, payroll training, stationery, office space and payroll staff
salary/wages saving you more. The government have been increasing
payroll legislation to employers every year and are set to continue this
trend making the payroll more time consuming and far more complicated. We
also understand that people are the most important asset to any company
and paying them correctly and punctually, are significant aspects of the
employer/employee relationship. Therefore we always ensure our clients'
expectations are exceeded.
